UPS shipping from NetSuite, on your own UPS account
NesoTMS connects to your UPS account through UPS's own developer API. It rates every UPS service your account returns, buys the label in one click, voids it if you need to, and writes the tracking number, weights, sizes and cost back to the NetSuite item fulfillment. It is for NetSuite teams that already ship with UPS and want their negotiated rates next to other carriers on one screen.

What the UPS integration does
Once a UPS account is connected on the Carriers page, every fulfillment you open is rated with it automatically. NesoTMS shows each UPS service with its price and transit time next to your other carriers in rate shopping. When you buy, NesoTMS asks UPS for the label with your account number, stores the label file, prints it, and updates NetSuite. A void goes back to UPS using the same account and environment that bought the label.
The price shown is your negotiated rate when UPS returns one, and UPS's published rate otherwise. UPS bills you directly. NesoTMS doesn't resell UPS rates and doesn't charge per label.
Who it is for
It fits a warehouse that has its own UPS account and ships from NetSuite item fulfillments or sales orders, from one location or several. It is also for teams that use UPS for some orders and FedEx or USPS for others and want to compare them for each box instead of keeping a rule of thumb. A company without a UPS account number needs to open one with UPS first: NesoTMS connects accounts, it doesn't create them.
How to connect UPS
A NesoTMS administrator does this once on the Carriers page, under Add carrier.

Create an app at UPS
At developer.ups.com, create an app for your UPS account and open its Credentials. You need the Client ID and the Client secret.

Add the account in NesoTMS
Choose UPS under Add carrier, enter the six-character account number, the Client ID and secret, the shipper name and phone, and choose Test or Production.

Choose services and label settings
Turn on the services you want shown and, separately, the ones that can buy labels. Pick the label format, the pickup type and the two reference lines printed on each label.

Test the connection
Test connection asks UPS for a token with your keys. When it passes, the account is ready to rate and buy.

Label formats on a UPS account: GIF (the default), PNG, ZPL or EPL.
Return labels
NesoTMS also buys UPS return labels on your account, US to US: the customer ships from their address to your return address, and you pay as for any label. Start one from Quick ship by choosing Return, or from a shipped fulfillment's ship page with Create return label. That fills in the customer's address, your default return-to address from Settings and the boxes from the original label, with their sizes and weights.
A return label is its own shipment. It doesn't change the NetSuite item fulfillment it came from, and you can void it like any other label.
What you need
- A UPS account with its six-character account number.
- An app at developer.ups.com, for its Client ID and Client secret.
- A NesoTMS administrator to add the account. Members can rate and buy with it afterwards.
- A Test or Production choice. A Test account uses UPS's test environment, and what it buys never updates NetSuite.
- For printing without a dialog, a shipping station running NesoTMS Print. Without one, the label prints in the browser.
Label references, declared value and the High Value Report
UPS prints two reference lines on each label. Each line can show the item fulfillment number, the sales order number, the customer name, the ship-to name, a fixed text, or nothing. The default is the fulfillment number on line one and the sales order number on line two, and NesoTMS cuts anything longer than 35 characters.
A packer can enter a declared value for each box. When a package is declared at more than $999, UPS returns a High Value Report for the driver to sign, and NesoTMS keeps it on the shipment's Documents tab beside the label, with a note to print two copies and have the driver sign one at pickup. When the Import step's declared value option is on and the order is worth more than the minimum you set, the first box starts with the order's value from NetSuite.
Shipping to Canada
When the ship-from and ship-to countries differ, the ship page shows a Customs panel. A packer says who pays duties and taxes, Customer pays or We pay, with no default, then chooses the Incoterm (DAP, EXW or FCA, or DDP when you pay), confirms the invoice number and customer PO, and checks the items. The items come from the sales order and the item records: description, quantity, unit value, HS code and country of manufacture. Buy stays off until the panel is complete, and the first missing item is named next to the button.
UPS receives the commercial invoice with the shipment, and its PDF appears on the Documents tab. NesoTMS Print prints three copies of the invoice by default. If UPS can't take the invoice electronically, the purchase still succeeds and the invoice row says to print three copies. NesoTMS doesn't claim USMCA origin and doesn't file an export declaration (EEI).
What happens in NetSuite
Each purchase updates the item fulfillment: the shipping cost (your negotiated rate when UPS returns one), one package line per box with weight, length, width, height, a description of the service and the tracking number, and the ship status set to Shipped. NesoTMS writes to the package list the fulfillment already uses, which for a UPS ship method is usually the UPS package list. A void blanks that label's tracking numbers and, when no other label is active, sets the status back to Packed. If the NetSuite update fails, the label stays bought and is marked Not in NetSuite yet, with a retry button. The NetSuite integration page lists every field.
On production labels, Shipments History also shows UPS's tracking status for each shipment: label created, in transit, delivered or exception.
Limitations
- Labels are US to US and US to Canada only. UPS quotes for other international lanes show as rates only.
- UPS SurePost services aren't bought in NesoTMS yet.
- Voiding a label cancels it with UPS and clears its tracking from the order, but it doesn't guarantee a refund of the fee. That is between you and UPS.
- There is no USMCA certification and no export declaration for Canada shipments.
- NesoTMS doesn't schedule UPS pickups. The Pickup type setting only tells UPS how your packages reach UPS, because UPS prices some services by it.
- UPS Supply Chain, UPS's freight forwarding service, is a separate carrier and is coming soon.
- A purchase with no clear answer from UPS stays guarded as unconfirmed and is never retried automatically, so it can't buy a second label.

UPS is included in every plan. Basic is $99/month with two connected carrier accounts and Advanced is $499/month with unlimited accounts. UPS bills your account directly for the labels you buy, so there is no per-label fee from NesoTMS. See pricing for the full comparison.

The interactive demo lets you compare UPS-style rates and buy a sample label in your browser, with made-up orders and labels that say they are samples. The Test connection button on the Carriers page checks your own UPS keys before you ship anything.
UPS integration questions
Does NesoTMS use my negotiated UPS rates?
- It shows the negotiated rate when UPS returns one for your account, and the published rate when it doesn't. UPS bills you directly either way.
Can I ship to Canada with UPS?
- Yes, from the US, for UPS Standard, Worldwide Expedited, Worldwide Saver, Worldwide Express and Worldwide Express Plus. The packer fills in the Customs panel, and UPS gets a commercial invoice. Other international lanes are rates only.
Which UPS credentials does setup ask for?
- Your six-character UPS account number, plus the Client ID and Client secret of an app you create at developer.ups.com. The keys are encrypted and never shown again.
What if a UPS label is bought but NetSuite doesn't update?
- The label stands and is marked Not in NetSuite yet. A Retry NetSuite update button writes it again, and the write-back sets values instead of adding to them, so a retry is safe.
